Safety regulations

Gases, Liquids, and Chemicals

• All use of chemicals must be reported to SciFest (name, quantity, and risk assessment are required).
• Flammable, corrosive, or toxic chemicals/gases may not be brought into, or stored, at Fyrishov without written permission.
• Ethanol is limited to one bottle of a maximum of 0.5 liters per booth. Any additional quantity must be stored outside the venue.
• Chemicals must never be left unattended during opening hours.
• Vehicles or machinery on display must have an empty tank (maximum 5 liters of fuel) and a lockable fuel cap. Car batteries must be disconnected.
• Explosive or pyrotechnic materials are not permitted.

Electrical Regulations

• Electrical panels must not be blocked.
• All connections to fixed electrical installations must be carried out by SciFest’s contracted supplier.
• Each exhibitor is provided with two power outlets per activity.
• SciFest/Fyrishov reserves the right to remove non-approved electrical equipment.

Live Materials

• If you plan to include live materials in your activity, this must be reported to SciFest, and you must ensure that all required permits are in place.

Goods

Shared transport of goods (organized by SciFest for university-affiliated exhibitors) takes place the day before the event begins and from SciFest after closing on the final day.

More detailed information will be provided closer to the event.

Empty Packaging

Must not be stored in the booth; it should be placed in designated areas or kept in your own vehicle.

Responsibility in Case of Theft or Damage

Exhibitors are responsible for all their own equipment in the booth and venue.

For rented equipment, the exhibitor is responsible until it has been returned to the supplier.

Noise

Speakers must not be used in a way that disturbs other exhibitors.

Machines producing disturbing noise may need to be turned off.

Odors

Equipment, materials, or props that emit strong odors may need to be removed if they disturb others.

Cleaning After SciFest

When leaving the booth, exhibitors are responsible for ensuring that:

• Only furniture remains in the booth.
• All waste is sorted and disposed of in designated areas (see event pages)
• All mounted materials (posters, signs, etc.) are removed, including nails, tape, and other fixtures.
• The floor is cleared of all debris.

In Case of Fire or Accident

Follow this order:

RESCUE

• Rescue yourself and people in danger.
• Evacuate the premises safely.
• Do not move injured persons unless absolutely necessary.

ALERT

• Inform people nearby and ask for help.

RAISE THE ALARM

• In case of fire – activate the fire alarm using the alarm button
• Call 112 and follow instructions

EXTINGUISH

• Extinguish the fire if possible.
• Close doors to limit the spread of fire.

Fire Alarm

The premises are equipped with an automatic fire alarm system.

The following are prohibited indoors:

• Smoke (e.g., smoke machines, smoking, welding, sparklers)
• Flammable liquids or open flames without approval from SciFest.

Safety and Emergency Exits

Evacuation routes, emergency exits, signage, firefighting equipment, and alarm buttons must not be blocked—this applies both inside and outside the escape routes.

Emergency exits must be kept clear for at least 5 meters in front of them.

• Before the event, make sure you know:
• The location of your nearest emergency exit
• The location of fire extinguishers

Objects placed outside the booth area require approval.

Evacuation and Assembly Point

In case of a fire alarm, the premises must be evacuated immediately via emergency exits or the main entrance.

A voice announcement system will instruct visitors while SciFest staff guide the evacuation.

The assembly point is the parking area outside the SciFest main entrance.

No one may re-enter the premises until clearance is given by emergency services or authorized staff.
